Description
The Data Administrator plays a key role in ensuring the accuracy, availability, and traceability of operational and sampling data across onsite activities. This position supports decision-making by maintaining structured records, coordinating daily information flow with field teams, and delivering timely, high-quality data outputs that improve process reliability and team performance.
Key Responsibilities
- Maintain and reconcile daily logs and measurements from the previous day, ensuring entries are complete, accurate and time stamped.
- Update measurement results daily in an Excel tracker, consolidating data from different measurement result portals.
- Operate and update the device tracker to reflect equipment status, location, and calibration records.
- Coordinate a daily dialog with the sampling team to review sample collection, confirm metadata, and resolve discrepancies.
- Log incoming results promptly, verify data quality, and follow up on incoming results that require clarification or corrective action.
- Prepare clear, structured reports and handovers for onsite teams and supervisors at shift change.
- Support audits and data quality reviews by providing documented evidence and traceable data trails.
- Collaborate with IT or data management colleagues to improve templates, workflows, and automation opportunities.

Requirements
Required Skills and Experience
- Proven experience in a data administration or data entry role with responsibility for operational logs and measurements.
- Advanced Excel user with strong command of formulas, pivot tables, data validation, and structured spreadsheets.
- Experience working onsite and collaborating directly with field or sampling teams on a daily basis.
- Excellent attention to detail and experience maintaining device trackers, calibration records, or equipment logs.
- Demonstrated follow-through on incoming results, including verification, documentation, and timely escalation.
Nice to Have
- Previous Health and Safety experience to help interpret data in an HSE context.
- Familiarity with laboratory or sampling workflows and common measurement units and metadata practices.
- Experience with data quality frameworks, audit preparation, or formal reporting systems.
Reporting Line and Organizational Context
The Data Administrator reports to the Contractor Safety Coordinator and works within the onsite operations team. This role supports both field technicians and the sampling team, acting as the central point for daily data consolidation and handover to managers and quality assurance functions.
Team Structure and Collaboration Interfaces
The role is embedded within the onsite operational team and collaborates closely with sample collectors, lab analysts, equipment maintenance staff, and IT/data specialists. Regular interfaces include daily sampling meetings, shift handovers, and weekly data review sessions to align priorities and resolve data quality issues.
Deliverables and Success Metrics
- Complete and accurate daily logs and measurement records delivered at each shift handover.
- Up-to-date device tracker reflecting current equipment status, with zero critical discrepancies during spot checks.
- Timely logging and verification of incoming results, with average follow-up time on unclear results kept within a defined service level.
- Consistently structured Excel workbooks and reports used by the team for operational decision-making.
- Reduction in data errors and audit findings related to onsite records year over year.
Tools, Technologies and Domain Context
Primary tools include advanced Excel and structured spreadsheets, device tracking systems or registers, and standard reporting templates. Familiarity with basic data automation (such as macros or Power Query) and standard onsite measurement and sampling practices is advantageous.
