Kintec are currently partnered with a leading multinational materials technology company . They are currently recruiting for Senior Administrative Support Customs to be based in Hoboken, Belgium.
Department description and responsibilities
The Transport and Trade Compliance department at CLIENT supports all transport & trade-related processes for import and export. The team works closely with external customs brokers, logistics partners, and internal departments to ensure accurate and timely handling of customs documentation and procedures.
Project description
CLIENT is looking for temporary administrative support for the Customs department in Hoboken. The focus is on ensuring smooth communication between CLIENT and the external customs broker, managing documentation, and supporting internal processes.
Primary Tasks and responsibilities
- Assist with the preparation of customs documentation and declarations
- Check that all required documents are available and accurate
- Provide correct instructions to the customs broker
- Liaise with freight forwarders, customs brokers, and internal departments
- Monitor and track shipment status and update relevant stakeholders
- Maintain and update internal databases and lists
- Prepare reports and summaries as requested
- Handle general administrative tasks such as managing correspondence and email triage
Technical profile requirements
- Strong experience in Administrative support in an international environment
- Proficient in MS Office (Excel, SharePoint, Outlook)
- Experience with administrative processes, preferably in a logistics or customs-related context
- Prior customs knowledge is not mandatory - internal support will be provided
- Skilled in document control and email management

Language proficiencies
- Fluent in English
- Polish is a strong plus
Location
- CLIENT site Hoboken - 3 days per week onsite required
- During onboarding (minimum 1 month): 100% onsite presence required

- Full-time assignment
