Job Title: IP Coordinator

Contract: 3-Month Fixed Term
Location: London/Milton Keynes

About the Role:

As an IP Coordinator, you will be responsible for managing procurement activities, ensuring efficient and effective order processing, supplier negotiations, and invoice coordination. You will work closely with various stakeholders to support procurement needs, track orders, and ensure accurate data entry into purchasing management systems.

Key Responsibilities:

  • Procurement Management: Receive, analyze, and process procurement requests, ensuring all orders are issued and followed up appropriately.
  • Supplier Coordination: Request and negotiate quotes with suppliers for non-strategic purchases, following the company’s delegation procedures.
  • Order Processing: Create, register, and manage supplier records and orders, including amendments as needed, in coordination with the Buyer.
  • Data Entry: Enter and maintain accurate data in purchasing management systems, including ERP platforms, ensuring proper tracking of orders and invoices.
  • Stakeholder Communication: Act as a liaison between internal departments (e.g., Requesting Services, Management Control, Accounting) and external suppliers, ensuring smooth communication and issue resolution.
  • Invoice Coordination: Monitor and coordinate the approval flow for purchasing deliverables, including orders and invoices, and manage the invoicing performance of GBS India.
  • Dispute Resolution: Assist in resolving administrative issues related to orders, working with the Buyer and Requestor as needed.
  • Process Improvement: Participate in the development and continuous improvement of procurement procedures, processes, and performance indicators.
  • Reporting: Contribute to the creation of performance reports, KPIs, and other decision support documents related to procurement activities.

Qualifications:

  • Basic procurement or administrative background.
  • Technical diploma or relevant degree/diploma.
  • Strong negotiation and communication skills.
  • Ability to work efficiently in a fast-paced environment, with a focus on detail and accuracy.
  • Familiarity with ERP systems and purchasing management tools is a plus.
